These Terms and Conditions apply to all services provided by Active Play Therapies, including occupational therapy, clinical psychology, assessments, training, mentoring, online courses, digital resources and video consultations. By booking or purchasing any service, you agree to these Terms and Conditions.
Pricing
Prices are available on request and are subject to regular review. Any additional costs will be communicated before services are provided.
Travel is charged separately – please see our Prices page for details.
Prices are reviewed regularly. Where ongoing services are being provided, clients will be given one month’s notice of any change in fees.
Online courses and digital resources are priced separately and are payable before access is provided.
Appointments
Appointments will finish at the scheduled time regardless of arrival time. This helps us avoid delays for other clients.
Appointments may be delivered in person or via an online platform. Clients are responsible for ensuring they have a suitable internet connection and private space for online appointments.
If technical issues prevent an online appointment from taking place, we will work with you to rearrange the session where appropriate.
Cancellations & Non-attendance
Please provide as much notice as possible if you need to cancel an appointment.
If less than 24 hours’ notice is given, the session will be charged in full unless there are exceptional circumstances.
If you do not attend your appointment without notice, the session will be charged in full.
If we need to cancel an appointment, we will do so at the earliest opportunity. You will not be charged for appointments cancelled by us.
Online courses and digital resources must be paid for in full before access is provided, unless a payment plan has been agreed. By purchasing a course using a payment plan, you agree to complete all scheduled payments, regardless of whether you continue to access or complete the course. Once access has been granted, refunds are not normally available unless required by law or at our discretion.
Online Courses, Supervision and Mentoring
Online courses, mentoring sessions and educational resources are designed to support learning and professional and personal development.
Unless otherwise stated, access to online courses is for the individual who purchased the course and must not be shared or transferred to another person.
If you are a therapist receiving supervision or mentoring, you remain responsible for the decisions you make in your own professional practice and should always work within your professional scope of practice.
Recording Sessions
To protect the privacy of everyone involved, appointments, mentoring sessions and training sessions must not be recorded without prior agreement of both parties.
We will not record sessions without your consent.
Intellectual Property
All course materials, videos, presentations, workbooks, downloadable resources and other content remain the intellectual property of Active Play Therapies unless otherwise agreed in writing.
This includes resources, training materials and courses developed as part of commissioned work. Unless a separate written agreement states otherwise, intellectual property rights remain with Active Play Therapies.
Where resources or training are commissioned, the agreed fee covers the licence to use the materials as agreed between the parties. It does not transfer ownership of the intellectual property unless this has been expressly agreed in writing.
Your purchase or commissioning of work gives you permission to use the materials only for the purpose agreed. You must not copy, reproduce, record, share, distribute, publish, sell or adapt any part of our content without our written permission.
Finishing Service Provision
We reserve the right to end services if:
- the therapist becomes unwell or is otherwise unable to provide the service;
- payments remain outstanding;
- your or your child’s behaviour places anyone at risk;
- therapy has reached its natural conclusion; or
- we believe our services are no longer the most appropriate to meet your or your family’s needs.
Where possible, we will discuss this with you and provide recommendations for alternative support if appropriate.
Payments
Invoices detailing the amount owed and payment instructions will be sent by email.
Payment can be made by bank transfer, cheque or cash unless otherwise agreed.
Invoices are payable within 15 days.
Online courses and digital products must be paid for before access is granted, unless a payment plan has been agreed. By purchasing a course using a payment plan, you agree to complete all scheduled payments, regardless of whether you continue to access or complete the course.
By booking an appointment or purchasing a course or service, you agree to pay the applicable fees.
If you experience difficulties making payment, please contact us as soon as possible so we can work together to find a suitable solution.
Late payment may incur additional charges in line with the rates published by the Small Business Commissioner.
Reports, including draft reports, will not be released until payment has been received in full.
Our Accountability
Therapists at Active Play Therapies are registered with the Health and Care Professions Council (HCPC) where required by their profession and will work within their professional competencies.
We will only provide assessment, therapy, mentoring and education that we believe is appropriate based on our training, clinical experience and the available evidence.
If you have concerns about any aspect of our service, please contact us at hello@activeplaytherapies.com. We will always aim to resolve concerns promptly and fairly.
If we are unable to resolve a dispute together, it may be referred to an independent mediator.
Confidentiality
We treat information shared with us as confidential and handle personal data in accordance with our Privacy Notice. There are some situations where we may be legally or professionally required to share information, including safeguarding concerns or where required by law.
